ParaAI is designed to help you find and act on high-quality matches – faster. By surfacing relevant opportunities for your candidates, ParaAI helps you save time, increase submissions, and ultimately drive more placements.
This guide will walk you through how to navigate the platform and get the most out of every match.
All ParaAI matches appear under the New tab in the ParaAI section. From here, you can quickly review each opportunity and choose to Pass or mark I’ll reach out.

When you select I’ll reach out, the match moves to the Needs to be Submitted tab – you can think of it as your workspace for active opportunities. After connecting with the candidate and confirming they’re a strong fit, you can Quick Submit or Reject.

Once submitted, candidates will appear in the ParaAI tab so you can easily track your progress.
Think of the ParaAI homepage as your command center. It gives you a complete view of all matches you’ve received: new, in-progress, rejected, and even expired.
You’ll also have flexible options like Submit Late or Revert and Submit, so you never miss a potential opportunity.

Tick the Reached Out box to keep track of candidates you’ve contacted but haven’t heard back from yet. This is a simple way to stay organized while keeping momentum on your matches.
These will remain visible in your Needs to be Submitted tab and on your homepage, so nothing slips through the cracks. Note that this doesn’t count as a formal submission though, so remember to come back and submit their application!

Strong matches start with strong data. The more accurate and complete your candidate preferences are, the better ParaAI can work for you.
You’ll be prompted to fill these out for every new candidate – capturing this during your initial screen is the easiest way to stay efficient.

You can update candidate preferences anytime by clicking on Candidates > Candidate Name > Update Preferences.
Keeping this information fresh ensures ParaAI continues to surface relevant, high-quality opportunities.
If a candidate is in late-stage interviews or temporarily off the market, simply update their availability in the Open to opportunities section. We’ll also automatically manage this setting when candidates reach final rounds or offers – and toggle it back on if things change.
You can track which of your candidates are currently being surfaced through ParaAI by navigating the Talent Network tab in the ParaAI homepage. By default, we consider candidates you have submitted in the last 40 days as long as they aren't at final or offer stages on other roles on our platform (as a proxy for still being in the job market). If it's past the 40 days, you can click Re-enable candidates to re-add them to the pool of ParaAI candidates.

Not every match will be the right fit, but we ask you to still select Reject so we can close the loop. Don’t worry, you won’t be penalized for rejecting a match.
You’ll also be prompted to share a rejection reason. We actually highly encourage you to be as specific as you can when providing rejection reasons. Our algorithm automatically updates candidates’ preferences directly based on your input.
Matches expire after 7 days if no action is taken. To keep opportunities moving for candidates and give them a fair shot, ParaAI will be temporarily disabled for your account if you let 3 matches expire.
If you’re planning to be out of office, just let us know – reach out to your account manager (or team@paraform.com) and we’ll happily pause your matches so nothing is missed.
If you do accumulate expired matches, you can easily clear them from the Expired tab or clicking the Resolved expired matches button to get back up and running.
